1. Overview

A makeup session is a replacement session offered when a scheduled session could not take place. This policy sets out exactly when a makeup session is available, how it must be requested, and when it lapses. It applies to all 1:1 students at Tangible Learning. Separate rules for group cohort students are set out in Section 5.

Makeup sessions are an accommodation, not an entitlement. They exist to ensure that students who communicate responsibly are not penalised for genuine scheduling conflicts. They are not a mechanism for recovering sessions lost to last-minute cancellations or no-shows.

2. When a Makeup Session Is Available

A makeup session is available only when all of the following conditions are met:

  1. The student or parent provided cancellation notice at least 24 hours before the scheduled session start time.
  2. The cancellation request was acknowledged by the tutor via WhatsApp or email.
  3. The request for a makeup session is made at the time of cancellation or within 24 hours of the original session time.

If any one of these conditions is not met, no makeup session is available and the session is forfeited as per the Rescheduling & Cancellation Policy.

3. Limit on Makeup Sessions

A maximum of one makeup session per calendar month is permitted per student. This applies regardless of how many sessions were cancelled with adequate notice in that month.

If a student cancels two sessions in one month — both with adequate notice — only one makeup session will be offered. The second cancelled session is forfeited.

This limit exists because multiple makeups in a single month compress the tutor's available teaching hours in a way that is not sustainable across a full student roster.

4. Scheduling the Makeup Session

4.1 Who Proposes the Time

The responsibility for proposing a makeup time rests with the student or parent, not the tutor. When requesting a makeup, the student or parent must suggest at least one specific date and time that works for them. The tutor will confirm availability and respond within 24 hours of receiving the proposal.

4.2 Tutor Availability

Makeup sessions are subject to the tutor's availability and cannot be guaranteed for any specific date or time. The tutor will make reasonable efforts to accommodate the proposed slot but is not obligated to rearrange existing scheduled sessions to create space for a makeup.

4.3 Completion Within the Same Calendar Month

Makeup sessions must be scheduled and completed within the same calendar month in which the original session was missed.

Exception: If no suitable slot exists within the remaining days of that calendar month — due to the tutor's existing schedule or the student's availability — the makeup session carries forward to the first available slot in the following calendar month. This carry-forward applies once only. A carried-forward makeup session that is not scheduled and completed in the following month lapses permanently.

4.4 No Cascading Makeups

A makeup session that is itself cancelled or missed — for any reason — does not generate a further makeup. One cancellation, one makeup opportunity. If the makeup session is not attended, it is forfeited without replacement.

5. Group Cohort Students

Makeup sessions are not available for group cohort students. This is a structural feature of the cohort model, not an exception to general policy.

Cohort sessions run on a fixed group schedule with a shared curriculum timeline. Because the group moves forward regardless of individual absences, a makeup session for one student would require covering material already taught to the rest of the group — which is not feasible within the cohort format.

Students who miss a cohort session are encouraged to review the session recording (where available) and raise any questions in the next scheduled session or via the shared async homework channel.

6. Tutor-Initiated Cancellations

When the tutor cancels a session, a makeup is always provided. This is not subject to the one-per-month limit, the same-month completion requirement, or any of the conditions in Section 2. The tutor's obligation to make up a cancelled session is unconditional.

For group cohort sessions cancelled by the tutor, a makeup session is scheduled for the full group at the earliest mutually available time.

7. Expiry of Makeup Sessions

A makeup session that is not scheduled within 14 days of the original missed session — for reasons within the student's control — lapses automatically. The tutor will send one reminder via WhatsApp if a makeup has not been scheduled within 7 days. If no response is received within the following 7 days, the makeup is considered lapsed.

Lapsed makeup sessions are not reinstated.

8. Communication Channel

All makeup session requests must be submitted via WhatsApp to the tutor's registered number, or via email if WhatsApp is unavailable. Verbal requests made during a session do not constitute a formal makeup request under this policy.

9. Relationship to the Rescheduling & Cancellation Policy

This policy operates alongside the Rescheduling & Cancellation Policy. In the event of any conflict between the two documents, the Rescheduling & Cancellation Policy takes precedence on questions of notice, forfeiture, and tutor-initiated cancellations. This document governs only the specific question of when and how makeup sessions are arranged.
